Business Policy

Privacy Policy

Essencia Wellbeing understands the importance of privacy and are committed to maintaining the confidentiality of your medical information. We make a record of the medical care we provide and may receive or provide such records from/ to other professionals upon our client’s permission. We are required by law to maintain the privacy of protected health information, to provide individuals with notice of our legal duties and privacy practices with respect to protected health information, and to notify affected individuals following a breach of unsecured protected health information. 

Payment Terms

Purchasing services from Essencia Wellbeing involves collection of certain payment and billing data by third party partners. Data collected may include but is not limited to your name, credit card number, security code, expiration date, billing address and postcode.

Booking Policy

Bookings are conducted online via a third-party provider.

A confirmation email will be sent, and appointment reminders will be sent within 48 hours of the scheduled appointment. Upon booking, payment and billing data will be collected by our third-party partners.

Pricing Policy

Pricing of services may change at any time, and discounted consultations are only available at the lower price during the detailed time of sale.  

Cancellation and appointment changes

At Essencia Wellbeing we strongly value our client’s time, thus appreciate your mutual respect for ours along with other clients. Taking this in mind, Essencia Wellbeing. has a strict 24-hour cancellation policy. Cancellations that fall within 24 hours of the scheduled consultation will result in 50% of the total fee. Failure to attend an appointment without notice will result in 100% of the fee. 

Appointment Changes

Clients may re-schedule up to 24 hours prior to a scheduled appointment. Please contact us directly for appointment changes. Re-scheduling appointments within 24 hours of the scheduled consultation will be based on the practitioner discretion and may result in 50% of the fee.

If for any reason your practitioner cannot attend an appointment due sickness or unforeseen circumstances, the client will be advised as early as possible and be offered the option to re-schedule or receive a full refund. 

Client Intake Forms

Essencia Wellbeing requests new clients complete Client Intake form at least 24 hours prior to their first scheduled appointment. The forms will be emailed to clients at the time of booking. In the case when an intake form is not completed prior to the scheduled appointment, it will need to be completed during a consultation at the expense of their own consultation. With consideration and respect for the practitioner and other clients, no extra time will be allocated to compensate for lost time and full consultation fees will be charged.

Consultation

Please return the required Initial Client Intake form at least 24 hours before your appointment and arrive 5-10 minutes early. This will ensure your consultation will run for the full allocated time, as additional time will not be offered to late arrivals, and 100% of the service fee will be charged. 

Behaviour

Essencia Wellbeing will not accept or tolerate any form of aggressive or inappropriate behaviour, comments, or gestures. At the discretion of the practitioner, the consultation will be end immediately and the client will incur 100% of the fee. 

Personal Health Information

  • Essencia Wellbeing will collect and record your personal health information obtained from you during the course of telephone or in-person health consultations.

  • Your personal health information may be provided to your referring healthcare professional or to other healthcare professionals involved in your treatment and care with your express consent.

  • Your personal health information may be stored on third party provider practice management software.

Membership

  1. Membership Structure

·         Six-month minimum commitment required

·         Monthly payments processed on the 1st of each month

·         Service tiers based on consultation time standards

 

  1. Service Delivery:

·         Consultations scheduled in accordance with client specified offer

·         Response times measured during business hours

·         Priority booking subject to availability

·         Product discounts apply based on supplier pricing structures

 

  1. Modifications:

·         30-day notice for pricing changes

·         Service adjustments with written notification

·         Terms review quarterly

 

  1. Termination:

·         30-day written cancellation notice required

·         No refunds for unused services

·         Early termination fee equals one month's membership

·         Practice reserves right to terminate for non-compliance
